When You Get A New Device
You bought a new phone, tablet, or laptop and need your email working on it. Or you've had the device for weeks but keep putting off setting up email because the error messages are confusing.
Email setup should be simple - type in your address and password, done. But in practice there are server settings, port numbers, SSL options, app passwords...
💡 Pro tip: Most email problems come from using the wrong server settings. Gmail, Outlook, and iCloud are usually automatic. But BT, Sky, TalkTalk and older providers often need manual setup with specific server addresses.

What to Expect
Step 1: Get Your Details
I'll need your email address and password. If you've got two-factor authentication (you should!), we'll need to generate an app password for some email providers.
Step 2: Configure Email
Add your account to the email app on your device. Test it sends and receives. Set up folders if needed (Sent, Deleted, custom folders).
Step 3: Finishing Touches
Add your signature, configure how often it checks for new mail, set notification preferences, show you the basics of using the app.
🔧 DIY Tips
Want to set up email yourself?
🔧 Gmail on phone
- Open Settings > Accounts
- Add Account > Google
- Enter Gmail address and password
- Follow prompts to finish setup
- Open Gmail app - should work automatically
📧 Other email on iPhone
- Settings > Mail > Accounts
- Add Account > Other
- Enter name, email, password, description
- iPhone tries to find settings automatically
- If it fails, need manual setup (search for your provider's settings)
💻 Email on Windows/Mac
- Windows: Mail app > Settings > Manage Accounts > Add Account
- Mac: Mail app > Accounts > + button
- Follow similar process to phone
⚠️ Common problems
- Can't receive emails: Wrong incoming server settings
- Can't send emails: Wrong outgoing server (SMTP) settings
- Password keeps being rejected: Might need app-specific password (especially Gmail)
- Only seeing recent emails: Check mail settings aren't set to only download last week
💡 Pro trick: If you've got two-factor authentication on Gmail or Outlook (you should!), you can't use your normal password for email apps. You need to generate an 'app password' in your account settings. This trips everyone up.
Rather leave it to a pro? No problem - that's what I'm here for. Give me a call.
Good to Know
📧 Multiple email accounts? Most people have personal and work email, maybe an old account they still check. I can set up all of them so you can see everything in one place.
Old BT/Sky email? These are notoriously fiddly to set up because they need specific server settings. I've done hundreds - know all the settings off by heart.
Business email on custom domain? If your email is yourname@yourbusiness.com, you'll need hosting details (server addresses, ports). Check with whoever hosts your website - they'll have the settings you need. I can configure it once I've got those details.
Frequently Asked Questions
What email accounts can you set up?
All the common ones - Gmail, Outlook/Hotmail, iCloud, Yahoo, BT, Sky, and any other email provider. Process is similar for all of them. If you've got multiple email accounts, I can set up all of them on your device so you can check everything in one place.
I got a new phone/computer - can you transfer my email to it?
Yes, that's exactly what this is for. Your email lives on the server (Google, Microsoft etc), so it's just a matter of signing into your account on the new device. All your old emails and contacts will appear automatically once it's set up.
Will I still have my old emails?
Yes - as long as your email is IMAP (which most are nowadays), all your emails are stored on the server. When I set up your new device, they'll all download and you'll have access to everything. Only very old email accounts used POP3 which actually downloaded emails - those need different handling.
Can you set up my email signature and contacts?
Yes - I'll add your signature (name, phone, whatever you want), and your contacts should sync automatically if you're using Gmail or iCloud. If they don't, I can import them from your old device or type them in if there aren't many.
What if I can't remember my email password?
We'll need to reset it. I can walk you through the password recovery process for most email providers - usually involves getting a code sent to your phone or backup email. Bit annoying but not difficult.
